PSA: How To Create Flow For Skills/Certification Lightning Component

This content explains how to create a custom Flow in Salesforce to trigger an approval process for Skill or Certification Ratings. This automation is necessary for versions with an Accelerate Build lower than Winter 23. The Flow starts when a user clicks 'Submit for Approval' and sends the record into the relevant Salesforce Approval Process. This configuration is required because the standard button does not automatically initiate the approval process.

Objective
  • Accelerate Build lower than Winter 23
  • Creating a Flow to allow the Skills/Certification Lightning Component to trigger a Salesforce Approval Process.
  • When a user clicks 'Submit for Approval' on a Skill/Certification Rating, the Flow will check to see if the Approval Status is Submitted, then it will send the record to the relevant Salesforce Approval Process

Procedure
  1. Go to Setup > Under 'Process Automation', select Flow
  2. Select New Flow
  3. Press the Play (Start) Icon within Flow UI
    • Object field > Select Skill / Certification Rating
    • 'Under Configure Trigger' > Trigger the Flow When: "A Record is Created or Updated"
    • Condition Requirements: "When Conditions Are Met (AND)" > Field: "pse__Approval_Status__c" > Operator: "Equals" > Value: "Submitted"
    • When to Run the Flow for Updated Records: "Every time a record is updated and meets the condition requirements"
    • Optimize the Flow for: "Actions and Related Records"
    • Done
  4. Select + icon to add Element > Select Action from pick list
    • Under 'Action' field, Select Submit for Approval
    • Label: “Submit for Approval"
    • API Name should automatically pre-fill
    • Description: “Submit Skill/Cert Rating to Salesforce Approval”
    • Under 'Setup Input Values' > Record ID: select $Record (pse__Skill_Certification_Rating__c)
    • Done
  5. Activate the Flow.
  6. Test by navigating to the Skills & Certification Lightning Component > Create a new Skill Rating > Click Submit for Approval.
    • The expectation is that the Skills & Certification Rating Record is submitted into the relevant Approval Process. This can be verified by going to the Skills & Certification Rating Record (Salesforce Record) > Select related list for Approval History.
Additional Notes
  • Note: This was copied from the Accelerate Build for Winter 2023.  Newer versions may require alterations.
  • Accelerate Build Winter 23 or higher will include this Flow
  • Out of the box behavior of 'Submit for Approval' button on the Skills/Certification Lightning Component does not trigger the approval process. A custom automation to trigger the Approval Process such as the above will be needed. Please refer to this resource here under 'Submitting Skills And Certifications for Approval' Section.
  • This configuration applies if only one Approval Process is enabled. 
  • If multiple Approval Processes are enabled, to set a Flow for specific Approval Processes, during Step 4:
    • Under 'Setup Input Value' > Approval Process Name or ID = "Included" > Search and select specific Approval Process Name or ID
