PSA: How to Run Project Actuals Recalculation in Scheduled Mode

Project Actuals Recalculation can be run in a scheduled mode. This process is initiated from the PSA Administration tab by setting a recurring weekly schedule. Users can define the specific days and start time for the job to run. For the scheduled job to include a project, the project must be active and flagged for recalculation. Optional steps, such as manually flagging specific projects for recalculation, can also be performed.

Summary
Project Actuals Recalculation can be run in a scheduled mode. This process is initiated from the PSA Administration tab by setting a recurring weekly schedule. Users can define the specific days and start time for the job to run. For the scheduled job to include a project, the project must be active and flagged for recalculation. Optional steps, such as manually flagging specific projects for recalculation, can also be performed.

Additional Notes
  • If the Actual job is scheduled to run every 15 minutes and the Project Actual Recalc is scheduled at the top of the hour, the job labeled 'PSA Actuals at x:0' need to be deleted as both jobs need to lock the Actuals, but only one job can
  • The Actuals: Need Recalc field is only recommended to use if attempting to force update a few Projects. Otherwise, the 'Project Actual Recalc' job will process and update Projects that have Transaction records waiting to process.
  • The Actuals: Need Recalc field may have to be added to the Project's Page Layout if not displayed
  • The Schedule Batch button adds the job to the Setup under Scheduled Jobs, which can be deleted if not currently running
  • Actuals cannot update the Project record if the All Time Period is not linked. To update the Project set the Action: Update Current Time Period field to "true" and select Save prior to running the process
  • All Time Period's End Date field must not go past 5 year from the current year.  It is recommended to add a calendar reminders to extend the value out another 5 years before the End Date is reached
  • The Project's Active field must be set to "true" and the Actuals: Need Recalc field must be set to "true" for the scheduled job to include the Project
  • When there is a change to the Child Project, the Parent Project's Actuals: Need Recalc field will be set to "true" be design, which the Project Actual Recalc scheduled job need to exist to process those Parent Projects. Once done the Actuals: Need Recalc field will be set to "false"

  • If there is a Region, Practice or Group change on the Project record the Project Actual Recalc will remove the actual values from the old Region, Practice or Group and then add it to the new Region, Practice or Group
Procedure
  • Schedule the Project Actual Recalc to run over night by doing the following steps:
    1. Go to + All Tabs (Classic) or App Launcher (Lightning)
    2. Select the PSA Administration
    3. Scroll down to 'Schedule' section
    4. Select the days in the 'Recurs Every Week On' section
    5. Select the Start Time
    6. Scroll up to the 'Project Actual Recalc' section and select Schedule Batch button
    7. (Optional) On the affected Project set the Actuals: Need Recalc field to "true > Select Save
